Kakehashi Localization ("we") handles personal information in accordance with Japan's Act on the Protection of Personal Information and, where it applies to us, the EU and UK General Data Protection Regulation.
Names, company names, email addresses and the content of messages from people who contact us; billing details needed to issue invoices and receive payment; and any personal information contained in files you send us for translation.
To reply to enquiries, prepare quotes, carry out and deliver projects, invoice and receive payment, and meet our legal obligations. We do not sell personal information, and we do not send marketing emails to people who ask us not to.
Independent linguists working on your project, under confidentiality obligations; our email, file storage and payment providers (for example Zoho, Google and Stripe), which may process data outside Japan; and authorities where the law requires it.
Files are used only for your project and are deleted 30 days after delivery. If you agree, we keep a translation memory and glossary for your future projects, and, with separate consent, an anonymized copy of the text to improve our internal tools (see sections 7a and 7b of our terms). Third-party AI services used in our workflow are configured not to use your content to train their models.
Enquiry and project emails are kept for as long as needed for the purposes above. Invoices and accounting records are kept for the period required by Japanese tax law.
You may ask us to show, correct, delete or stop using your personal information. Email us and we will reply within 30 days.
